Authorization Required: Only users with "System Configuration" authorizations set to Modify have access to the job scheduling interface.
OnTrax Timesheets allows for automated jobs and email reminders to be scheduled from within the "Scheduled Jobs" configuration screen. Scheduled jobs can be run for auto approval of postings, time sheet reminders, and approval reminders for managers with postings pending their approval. More detailed information can be found in the white paper titled "6G. Setting Up Auto-Approve for Time Users" regarding the auto approval jobs.

In order to configure a Scheduled Job:
1. Select Configuration from the main toolbar
2. Select Scheduled Jobs from the submenu
3. Enter a Job ID
4. Enter in a long Text
5. Enter in a Module (Budgets, projects, ect)
6. Enter start times and dates

7. Select a periodic value from the drop list such as minutes, hours or days, and set the value. Entering "6" into the value and hours in the periodic, the message will be sent out by the system every 6 hours. If you set the value to 1 and the periodic to days then the e mail will be sent out everyday at the time scheduled in the start time. The job will automatically reschedule itself and be send out everyday until the "Do Not Run After" date is encountered or you change the job definition status from "Scheduled" to "Cancelled".
Note: Existing scheduled jobs can be discontinued by setting their status to "Cancelled". In order to do this, select the desired job in the top grid by selecting the left hand margin for the desired row. The job definition will automatically be loaded into the lower edit area where its status can be re-set to 'Canceled' and the job can be saved.
Configuring individual job messages:
Each job that can be scheduled has a standard message that will be sent to the users at the time the job runs. In order to configure the individual messages to fit your needs you will need to follow the steps outlined below.
1. Select the "Job Messages" sub menu icon.
2. Select the "Module" drop list and chose the appropriate type.
3. Select the desired "Job Type" from the drop list.
4. Enter a "Subject" for the email to be broadcast.
5. Enter the email "Message" to be broadcast.
6. Select "Save" to save your changes.
