Compliance and Notifications

Menu Path:  Main Menu >> Configuration >> Application Configuration.  Next select the ‘Compliance & Notifications’ button on the right hand side of the screen.

OnTrax Timesheets is designed to comply with DCAA (Defense Contract Audit Agency) regulations for time tracking systems.  In addition to complying with DCAA guidelines, OnTrax comes with the ability to enable and disable compliance related functionality as required by the business.

To enable DCAA compliance settings, select the compliance level of ‘HIGH’ located at the top of the compliance screen.  Next, save the settings using the ‘Save’ button.

Important:  If the ‘Status of Time Sheet Reminder Jobs’ displays as ‘red’ at the bottom of the screen, then a periodic time sheet reminder job should be scheduled through the menu path Main Menu >> Configuration >> Scheduled Jobs.  DCAA regulations require that a time sheet reminder job be periodically scheduled to ensure users are entering in their time consistently.  

 

The following functionality can be enabled via the Compliance and Notifications screen:

Compliance Level Preset -  

Low:  No pre-sets. Nothing required

Medium: Some items required, some items optional

High:  All settings turned on and required (DCAA Compliant setting)

Individual Setting Break Down

1. Notify user when they are assigned to a task or project:  When a user is assigned to a project or a project task, a system email is automatically sent to the user to notify them of the assignment.

2. Notify user when their postings are modified by a manager:  During the approval process, a manager may have the ability to modify a users postings if they are authorized to do so in work flow setup.  If an approver is authorized to modify a subordinates postings during the approval process, and they do modify a posting, a system email is automatically sent to the user who created the posting notifying them of the change.

3. Comments entered at the time of a postings creation: If enabled (set to optional or required), the system will automatically prompt the user for a comment and record this comment in both the postings comment log and 'Work Flow Change Log / History' viewer.  

4. Comments entered at the time of a postings modification: If enabled (set to optional or required), the system will automatically prompt the user for a comment and record this comment in both the postings comment log and 'Work Flow Change Log / History' viewer.  

5. Comments entered at the time of a postings approval: If enabled (set to optional or required), the system will automatically prompt the user for a comment and record this comment in both the postings comment log and 'Work Flow Change Log / History' viewer.
